Email and web site regulations
Companies in the UK must include certain regulatory information on their websites and in their email footers before 1 January 2007 or they will breach the Companies Act and risk a fine. All companies or organisations should list the following information on their web site and in their emails. It should be noted that this information does not have to be on every page but it does need to be easily accessable. So in the bottom of the contact us page, or on the About us page, or in a Legal information page would be sufficient :-
- The name of the company or service provider The name of the organisation which the customer is contacting must be given. This might differ from the trading name. Any such difference should be explained - e.g. "XYZ.com is the trading name of XYZ Enterprises Limited."
- The geographic address of the company The word to stress here is geograpic, so P.O. Boxes are no longer allowable
- An email address It is no longer acceptable to just include a 'contact us' form without also providing an email address
- Membership of professional bodies If the business is a member of a trade or professional association, membership details, including any registration number, should be provided.
- VAT registration number If the business has a VAT number, it should be stated - even if the website is not being used for e-commerce transactions.
Companies they will also need to add:-
- The registered company address This is the address that is registered with companies house. If your registered companies address does not comply with your trading address and you would like to change it, then you will require Form 287 from companies house
- The registration Number
- The place of registration This can be England and Wales or Scotland for example
